1. Problem Statement

Chartered Accountants (CAs) face mounting pressure to meet clients’ demands for instant, accurate, and continuous support — especially during peak seasons like tax filing. Manual handling of queries is time-consuming, prone to delays, and often requires repetitive responses to common questions.

- Clients expect round-the-clock availability.

- Query volumes surge during deadlines, leading to overburdened support staff.

2. Process to Develop the Tool

To address the above challenge, I developed a 24/7 AI-powered chatbot, specifically tailored for Chartered Accountants. The development process involved the following steps:

Step 1: Data Collection

- Compiled FAQs, service details, filing instructions, and client onboarding processes.

- Collected queries from past client interactions for training data.

Step 2: Platform Selection

- Chose Chatbase AI for its no-code development environment, data security, and integration capability.

Step 3: Chatbot Training

- Uploaded training material including taxation laws, GST rules, ITR filing procedures, etc.

- Fine-tuned the model using Chatbase's learning feedback tools.

Step 4: Customization & Branding

- Personalized the chatbot as “Ask CA Gurveen”, giving it a human touch with professional tone and friendly UI.

- Integrated it with Calendly for appointment scheduling, and Google Drive for document uploads.
