Problem Statement
Indian Micro, Small, and Medium Enterprises (MSMEs) face a persistent and largely unsolved challenge in invoice management. Vendor invoices arrive through WhatsApp, email, and paper with no structured intake process, no approval trail, and no visibility. On the sales side, invoices are raised inconsistently — with incorrect GST types applied, missing details, and no standardised format, leading to compliance risks and even sometimes revenue leakage.
The Chartered Accountant managing compliance and other services for multiple such businesses bears the brunt of this disorganisation. Every filing cycle involves repeated follow-ups, phone calls, and manual data collection from clients — consuming time that should be spent on advisory and value-added work.
Technology Used
InvoicePro is built on a modern, production-grade web technology stack designed for reliability, performance, and a clean migration path from local deployment to cloud hosting:
- Frontend: Next.js 16 with React 19 and TypeScript — delivering a fast, responsive, and type-safe user interface;
- Charts & Analytics: Recharts v3.8.1 — used for business health dashboards and visual KPI reporting within the Admin console
- Database: SQLite via Prisma 7 ORM — zero-configuration local deployment with a clean migration path to PostgreSQL for cloud hosting
- AI Engine: Google Gemini 2.5 Flash — multimodal AI model for automated extraction of invoice data from PDF and image uploads
- Excel Reporting: ExcelJS — structured multi-sheet Excel exports for both purchase and sales invoice data, ready for GST reconciliation
- PDF Generation: react-pdf/renderer — branded, GST-compliant customer invoice PDFs generated server-side
Solution / Key Features
InvoicePro is a multi-tenant invoice management system purpose-built for the CA–SME service relationship. It covers both sides of the financial ledger — vendor purchase invoices and customer sales invoices — within a single, role-governed platform. The CA onboards each business client as a fully isolated, secure tenant and manages the entire portfolio from one console.
The platform operates across five distinct roles in a layered hierarchy:
- Super Admin (The CA): Creates and manages all client tenants, assigns per-client Gemini API keys to track AI usage and costs per business, sets a global books-lock date, and pulls cross-tenant purchase and sales reports in Excel across any date range — delivering clean, structured data for GSTR-1, GSTR-3B, and GSTR-2B preparation without chasing clients
- Admin (SME Business Owner): Manages vendor and customer masters, creates and assigns internal user roles, views a real-time dashboard with KPIs and Quick Business Health Analytics powered by Recharts, creates GST-compliant sales invoices, and controls the books-lock date for their own business
- Approver (Finance Person): Reviews the vendor invoice queue and approves, rejects, or edits incoming invoices; every edit is captured in a full per-field audit trail; edited invoices automatically revert to pending re-approval — no bypass is possible
- Entry Operator (Back-office Staff): Submits vendor invoices individually or in bulk , creates customer sales invoices, and downloads GST-compliant invoice PDFs
- Vendor (External Supplier): Logs into a dedicated portal to submit invoices directly via PDF or image upload; Google Gemini automatically extracts all invoice fields — vendor name, invoice number, date, line items, HSN/SAC codes, and GST amounts — in under 30 seconds; manual entry is also available as a fallback
Additional platform capabilities include:
- AI-Powered Extraction: Google Gemini 2.5 Flash processes vendor invoice PDFs and images, delivering structured JSON output with a vendor auto-match against the master list; bulk uploads are processed 3 in parallel
- GST Intelligence: Automatic CGST+SGST vs IGST determination from buyer and seller state codes; auto Bill of Supply mode when GSTIN is absent; ITC-correct goods-received date enforcement; configurable sales invoice number prefix with auto-increment; amount in words on every PDF
- Tenant Isolation: Each business client operates in a fully isolated data environment — enforced at the database level, not merely hidden in the UI
- Books-Lock Control: The CA’s global close-period date always takes precedence over the Admin’s lock — whichever date is later wins — ensuring the CA retains full control across all clients
- Excel Exports: Cross-tenant and per-tenant purchase and sales reports exported as structured multi-sheet Excel files, ready for direct use in GST filing workflows
Future Enhancements
InvoicePro is architected for progressive enhancement across three horizons:
Near-Term
- GSTR-1 and GSTR-3B auto-preparation exports directly from the platform
Medium to long-Term
- Full CA-managed accounting module: CA enters adjustment journal entries in InvoicePro, and a complete set of books export is prepared and pushed to Tally, Zoho, or any accounting software — eliminating manual re-entry entirely or even use InvoicePro as a full accounting module, in case no other accounting software is being used.
Conclusion
India has over 63 million MSMEs — the majority of which still rely on WhatsApp, paper, and email for invoice management. GST compliance requirements are growing more stringent each year, and CAs remain the primary service providers navigating this complexity on their clients’ behalf. Yet no existing cost-efficient tools have been built from the ground up for the CA-as-platform-provider model.
InvoicePro addresses this gap directly. It is not merely an invoicing tool — it is a new service category for CA practices. By combining AI-powered invoice extraction, a structured multi-tenant architecture, full purchase and sales invoice management, and CA-controlled compliance governance, InvoicePro enables the CA to offer a premium managed service to clients while dramatically reducing the manual effort involved in data collection and compliance services preparation.
Built on a modern, scalable stack with a clear path from local deployment to cloud hosting, InvoicePro is designed to grow with the profession — from an invoice workspace today, to a complete CA-managed accounting platform for Indian SMEs tomorrow.
