. Executive summary

When an experienced employee retires or resigns, years of unwritten know-how leave with them: the extra check nobody wrote down, the vendor who always invoices early, the person to call when the system is down. The next person learns these through mistakes, and auditors find controls that exist only in someone's head.

CApture AI interviews the departing person by voice, in their own language, finds what a new joiner would still have to guess, and produces an audit-ready handover pack: a Standard Operating Procedure, a workflow chart, a Risk Control Matrix (RCM), the person's unwritten tips and a list of open questions. The pack downloads as company-branded Word and Excel files, ready for review and sign-off.

2. The problem

  1. Key-person dependency. Critical processes run on the memory of one or two long-serving people.
  2. Undocumented controls. Many checks are performed out of habit and never written into an SOP, so they cannot be tested or relied on.
  3. Exit handovers are rushed. Notice periods are short, and nobody fills a 20-page handover form in their last week.
  4. Language barrier. Many senior staff explain best in Hindi or Marathi, while company documents are kept in English.

For the CA profession this is not just an HR issue. Directors and auditors must be able to rely on documented internal financial controls, and a control that retires with a person is a control the company no longer has.

3. The solution: how CApture AI works

StepWhat happens

1. TalkThe app asks one simple question at a time and reads it aloud in English, Hindi or Marathi. The employee answers by speaking. Hindi and Marathi speech is turned straight into English text, which can be corrected on screen. Questions adapt to the answers, covering 10 areas: purpose, trigger, steps, systems, people, exceptions, risks, controls, tips and contacts.
2. Fill the gapsThe AI reads every answer the way a new joiner and an auditor would, and lists what is still missing: steps with no owner, approvals with no backup, risks with no control, controls with no evidence. Each gap comes with a short follow-up question to answer on the spot.
3. Get the documentsIn seconds the AI writes the SOP, the workflow, the Risk Control Matrix, the unwritten tips and the open questions. The user can edit the tables and download the company-branded pack.

What the company receives

OutputContents

Standard Operating ProcedurePurpose, scope, trigger, roles, prerequisites, numbered steps with owner and system, exceptions and what to do
WorkflowA flowchart of the process with decisions and the person responsible for each step
Risk Control MatrixRisk, likelihood, impact, control, control type (preventive or detective), frequency, owner and evidence; risks with no control are flagged in red
Unwritten knowledgeThe tips and lessons that existed only in the person's head
Open questionsA tracker of what still needs to be confirmed, with owner, due date and status
Word and Excel filesBranded cover page, document number, headers and footers, review and sign-off page, and the full interview transcript as an appendix

4. Demonstration case

Suresh Kulkarni, Senior Accounts Officer at a fictional auto components company, retires on Friday after 31 years. He is the only person who fully understands the monthly vendor payment run. He had answered 9 of 12 questions earlier; the last 3 were answered live during the presentation, in Hindi.

  1. Hidden control captured. Asked about "one check nobody else knows about", Suresh explained that he compares payments to the top ten vendors with the previous month and holds any increase above 20 percent. This once caught a vendor billing twice. CApture AI turned it into a written, testable control in the RCM.
  2. Gaps found automatically. For example, there was no backup approver when the Finance Head is on leave, and no record of who may edit the vendor master file.
  3. Result. A 10-step SOP, a workflow chart, a Risk Control Matrix covering the key risks with their controls, the saved tips and the open questions. Downloaded as a branded Word pack and Excel matrix.

5. Relevance to the CA profession

AreaHow CApture AI helps

Internal Financial ControlsSection 134(5)(e) of the Companies Act, 2013 requires directors of listed companies to confirm that internal financial controls are adequate and operating effectively, and Section 143(3)(i) requires the auditor to report on them. Both depend on documented processes and an RCM, which CApture AI produces.
Statutory auditSA 315 requires the auditor to understand the entity and its internal control. A ready SOP, workflow and RCM speeds up this understanding and the walkthroughs.
Internal auditUnwritten checks become testable controls with an owner, frequency and evidence. Risks without a control are highlighted, focusing the audit plan.
Advisory and CA firmsA repeatable, fast way to document client processes for IFC, SOP and process improvement assignments.

6. Technology

ComponentTechnology

User interfacePython with Streamlit, a simple three-step web app
Speech to textSarvam AI Saaras v3, which also translates Hindi and Marathi speech into English
Questions read aloudSarvam AI Bulbul v3 text to speech
Questions, gap check and documentsSarvam AI sarvam-105b-conversations language model, returning structured data

Speed (measured with a live key): a question is read aloud in about 2 seconds, the gap check takes about 2 seconds and the full document pack about 7 seconds.

Reliability: progress is saved after every answer. If the AI is slow or unavailable, the app continues with a basic mode instead of stopping.

7. Trust, accuracy and data protection

  1. No invented content. The AI is instructed to use only what the employee said. Missing details are left blank and listed as open questions instead of being guessed.
  2. Traceable. The full interview transcript is attached to every pack, so each point can be traced to the employee's own words.
  3. Human in control. Every pack is a draft for review, with a sign-off page for the knowledge holder, the process owner, the head of department and internal audit.
  4. Data stays with the company. By default, captures are stored on the company's own system. Audio and text are sent to Sarvam AI only for processing.
  5. Consent. Because the tool records an employee's voice and knowledge, companies should take the employee's consent in line with the Digital Personal Data Protection Act, 2023. A built-in consent step is on the roadmap.

8. Impact and business model

  1. Weeks to minutes. Process documentation that usually takes weeks of meetings and drafting is produced from one conversation.
  2. Lower operational risk. Critical checks survive staff turnover, and gaps are surfaced before the person leaves.
  3. Audit readiness. SOPs and RCMs are in the format auditors already use.
  4. Inclusive. Employees can speak in their own language; the company still receives English documents.

Business model: freemium. The first captures are free, and a paid plan unlocks unlimited captures and removes the free-plan note. CA firms could license it per client. Target users are mid-size companies and MSMEs, CA firms doing internal audit and IFC work, and HR teams as part of exit formalities.

9. Current limitations and roadmap

10. Conclusion

Every company loses knowledge each time someone leaves, and every auditor needs documented controls. CApture AI solves both in a single conversation, in the employee's own language, in minutes instead of weeks, so that when people leave, their knowledge stays.
