Problem Statement
For any business, especially in the service sector — whether a CA firm, a staffing agency, a consulting company, or a small trading house — payroll is the single largest cost. In many cases, it represents 50 to 60 percent of total operating expenses. And yet, despite its size and impact, payroll is almost universally managed without intelligence. Businesses process payroll month after month without ever understanding it — what is driving the cost, where it is increasing, whether the numbers are correct, or whether the workforce is appropriately sized for the work it is doing.
This gap exists not because business owners are indifferent — but because every tool that offers payroll intelligence is either too complex for an MSME to operate or too expensive to justify. The result is that payroll remains a black box: large, opaque, and unanalysed.
Three specific pain points define this problem in practice:
- Payroll errors go undetected — exited employees still on payroll, salary spikes that were never questioned, loss of pay days exceeding working days, zero or negative net pay processed without any alert. These errors cost money every month and quietly erode trust between employer and employee.
- Payslip delivery is a never-ending manual burden — generating individual payslips, sending bulk emails, and then fielding a continuous stream of individual requests for past payslips throughout the month for home loans, visa applications, and bank accounts. No automation. No self-service. The same effort, every cycle.
- The Chartered Accountant managing the client's compliance and books carries the knowledge to provide payroll advisory — but has no tool to deliver it. Payroll data sits with the MSME, books data sits with the CA, and the gap between them means the CA cannot correlate workforce cost with revenue, cannot identify department-level inefficiency, and cannot offer strategic advisory that would be genuinely valuable to the client.
This is the problem PayIQ solves.

Solution / Key Features
PayIQ is a multi-tenant payroll intelligence platform purpose-built for the CA–MSME service relationship. It does not replace the payroll process that MSMEs already run — it layers intelligence, automation, and advisory capability on top of it. Whatever tool the business uses today to produce payroll, if it can export a file, PayIQ can read it. The CA onboards each MSME client as a fully isolated, secure tenant and manages the entire portfolio from a single console.
The platform operates across a three-tier hierarchy:
- Super Admin (The CA): The CA acts as Super Admin and SaaS provider. He onboards MSME clients — each fully isolated — and manages the full portfolio from a cross-client dashboard showing payroll health scores, anomaly alerts, and payroll processing status across all clients. The CA receives a CA-exclusive AI Payroll Brief for each client: an AI-generated narrative that, when correlated with the CA's existing view (if available) of the client's revenue and books, enables workforce cost advisory, overstaffing identification, and department-level efficiency analysis. This transforms the CA's role from compliance executor to strategic advisor . The CA also has Single Sign-On access to any MSME account where the client has granted consent, enabling direct intervention without credential sharing.
- MSME Admin (Business Owner): The MSME Admin uploads the payroll file for each pay period. The Smart Mapping Engine auto-detects column names using an alias dictionary and maps them correctly without requiring the MSME to reformat anything. Once the payroll is confirmed, anomaly detection runs instantly across every employee row, checking for seven categories of issues: zero or negative net pay, salary spikes and drops beyond configurable thresholds, exited employees still on payroll, new joiners flagged for review, LOP days exceeding working days, and data completeness gaps. A Payroll Health Score (0–100, graded Green / Amber / Red) gives an instant read on payroll quality. Payslips are generated in bulk and emailed automatically. The MSME also has access to AI Audit, AI Insights, and an AI Copilot — all powered by Gemini with masked data and logged consent.
- Employee: Employees receive access to a simple self-service portal where they can view their current payslip, browse their full payslip history, and download any payslip as a PDF — at any time, without contacting anyone. The recurring cycle of individual payslip requests ends entirely.
Additional platform capabilities include:
- Anomaly Detection across seven check types, run synchronously at payroll confirmation — no batch processing, no waiting
- Payroll Health Score with live recalculation reflecting acknowledged and resolved anomalies, visible to both MSME and CA
- AI Payroll Brief — CA-exclusive, withheld from the MSME, generated via Gemini with masked employee identifiers
- Consent-First AI — every Gemini interaction requires an explicit MSME consent modal; all interactions are logged with timestamps
- Multi-Tenant Isolation — every database record is scoped to the MSME Admin ID; isolation is enforced at the data layer, not merely at the UI
- CA Single Sign-On — session-safe impersonation with 8-hour token, amber banner indicator, and clean exit flow; available only where the MSME has explicitly granted consent
Future Enhancements
Short-Term (0–6 Months)
- Cloud deployment with PostgreSQL and hosted Node.js; zero application-layer changes required due to the SQLite-to-PostgreSQL abstraction already in place
- Excel Add-in for direct payroll push to PayIQ
- WhatsApp payslip delivery as an alternative channel to email, using the MSME's existing WhatsApp Business number with 3rd party integration
Medium to Long-Term (6–12 Months)
- AI-driven salary benchmarking by industry, role & city
- TDS & PF statutory computation modules
- Form 16, PF ECR, ESI challan generation
Conclusion
India has over 63 million MSMEs. For the vast majority of service-sector businesses among them, payroll is the largest single line item in their cost structure — and the one they understand least. Existing payroll tools either process payroll without analysing it, or offer analytics at a price and complexity level that MSMEs cannot access. The intelligence gap is real, wide, and costly.
Chartered Accountants are uniquely positioned to close this gap. They already hold the client relationship. They already see the books. With PayIQ, they gain the payroll intelligence layer that connects workforce cost to business performance — enabling them to move from compliance service provider to strategic advisor. Whether a CA deepens an existing audit engagement or acquires a new payroll advisory client, PayIQ creates a direct and recurring revenue opportunity that did not exist before with both a SAAS platform and payroll advisory.
PayIQ is not a payroll processor. It is a payroll intelligence platform — built from the CA's perspective, for the MSME's benefit. It is designed to grow with the profession: from a payroll analysis and delivery tool today, to a comprehensive CA-managed workforce intelligence platform for Indian MSMEs tomorrow.
