Financial Reporting Module

Use cases, workflows and application screens

From trial balance to Schedule III financial statements, notes, statutory reports and exports

Prepared for CA firm partners, managers and staff

October 2026

Screens shown are from a demonstration firm with sample data (Zenith Auto Components Private Limited, FY 2025-26).

1. Purpose of this document

This document describes how a chartered accountancy firm uses the Financial Reporting module of 24eTax. It sets out each use case in the same shape: who does it, what they need before they start, the steps on screen, and what they get at the end. Every use case is illustrated with a screenshot of the actual application.

The module takes a client entity from its trial balance to a complete set of financial statements, the notes and policies that go with them, the supporting registers (fixed assets, share capital, inventories, related parties), the year-end close, and the statutory reports that accompany the accounts (auditor's report, directors' report, AGM minutes and management reporting).

1.1 Who uses the module

RoleWhat they do in Financial Reporting

Partner / AdminFull access. Finalises and locks trial balances, periods and reports; signs off statements; manages firm settings and users.
ManagerReviews mappings and statements, closes periods, prepares statutory reports, approves the work of staff.
StaffUploads trial balances, completes COA mapping, maintains registers, prepares drafts of statements and reports.

1.2 The working context

Every page in the module works on one entity and one financial year at a time. The bar at the top of the screen shows the entity, its type, the financial year and the trial balance in use ("TB v1 · to 31-03-2026"). The Change link switches entity or year, and every page below it follows. Pages that need a trial balance say so until one is uploaded.

Figure 1: The firm dashboard after sign-in: clients, entities, trial balances awaiting mapping and reports in draft, with the Financial Reporting group in the sidebar.

1.3 Design principles that shape every use case

  1. Figures come from the books. Statements, notes and downstream reports read the mapped trial balance. Nothing is typed twice and no figure is invented or plugged.
  2. Statements must reconcile. A reconciliation and classification review runs on every preview; breaks are shown before anything is exported.
  3. Rules live in the database. Who may finalise, lock or reopen is enforced by the database, not by a disabled button.
  4. Drafts are versioned. Edits to a preview are saved as a draft copy; a Regenerate action rebuilds it from the current books when they change.

2. Module overview

The sidebar group "Financial Reporting" holds the pages below. The table lists them in the order a year-end engagement usually runs.

2.1 End-to-end workflow

  1. Upload the trial balance for the entity and period (CSV, Excel, Tally export, manual entry or AI extraction from a PDF).
  2. Confirm the COA mapping; the importer maps most ledgers on upload and the mapping page handles the rest.
  3. Fill the supporting registers that the notes draw on: fixed assets, share capital, inventories, related parties.
  4. Record audit entries and adjustments on the Closing Entries page; the trial balance is updated through them.
  5. Generate the statements, work through the reconciliation and classification review, and edit where needed.
  6. Choose the sections and export the PDF or Excel; finalise and lock the report and the period.
  7. Prepare the auditor's report, directors' report, AGM minutes and management report from the finalised figures.

3. Use cases

UC-01Upload a trial balance

ActorStaff or Manager
GoalBring the client's ledger balances for the year into 24eTax so that statements can be prepared from them.
PreconditionsThe client and entity exist; the entity type (company, LLP, firm, proprietorship, trust) and financial year are set on the entity.
OutcomeA balanced trial balance for the period, versioned, with every ledger mapped to a Schedule III head or flagged for mapping.

Steps

  1. Open Trial Balances and click Add Trial Balance. Choose Upload File (CSV or Excel), Create Manually (type the ledgers in) or AI Balance Sheet Import (extract from a PDF or spreadsheet).
  2. Select the entity and enter the period start and end dates.
  3. Drop the file in. The importer reads the layout (a generic ledger / debit / credit file or a Tally export), shows the totals and whether the file balances, and previews the Schedule III head each ledger will map to.
  4. Click Import. The trial balance appears in the list with its balance check and status, and becomes the working trial balance in the bar at the top.

Figure 2: The upload dialog: entity, period and the file drop zone. Format Info describes the accepted columns.

Figure 3: Before import the file is read and checked: 69 ledgers, debit and credit columns found, totals balanced, and every ledger already given a head.

Figure 4: The trial balance list: entity, client, period, source file, balance check and status, with edit, view, finalise and delete actions.

Variations. A Tally trial balance exported without ledgers expanded is detected and the user is told how to re-export it. Read layout with AI works out the columns of an unusual file. A later upload for the same period becomes a new version, and the Finalise action locks a version once it is agreed.

UC-02Review and correct the COA mapping

ActorStaff prepares, Manager reviews
GoalMake sure every ledger sits under the right Schedule III line so that the statements classify correctly.
PreconditionsA trial balance has been uploaded (UC-01).
OutcomeAll ledgers mapped, the mapping saved, and the trial balance shows "All ledgers mapped".

Steps

  1. From the Trial Balances list click the view icon to open the mapping page.
  2. Read the confidence column. Each ledger shows how it was mapped (Tally group, name match, previous year, manual) and a confidence percentage.
  3. Correct a head by clicking the search icon in the COA Mapping column and picking the right line; the change is saved immediately.
  4. Use Auto-Map to rerun the rules, Map with AI for ledgers the rules could not place, or Copy from Last Year to reuse the previous year's choices.
  5. Download Excel or Download PDF gives the mapped trial balance for the working-paper file.

Figure 5: The mapping page: period, totals and balance check at the top; each ledger with its head, nature, confidence and source below.

Figure 6: The edit dialog reached from the pencil icon: ledgers, heads and amounts can be changed in place, rows added or pasted, and the balance check updates as you type.

UC-03Generate the financial statements

ActorStaff or Manager
GoalProduce the complete set of statements for the entity type from the mapped trial balance.
PreconditionsA mapped trial balance for the year (UC-01, UC-02). A previous-year trial balance if comparatives are wanted.
OutcomeA draft report with Balance Sheet, Statement of Profit and Loss, Cash Flow, Changes in Equity and Notes, saved against the entity and year.

The Reports page offers one report type per entity type. The company format is Schedule III with the Balance Sheet, Statement of Profit and Loss, Cash Flow Statement, Statement of Changes in Equity and Notes. Proprietorships, partnership firms, LLPs and trusts each get their own format (capital accounts, appropriation, members' contribution, receipts and payments, fund-wise balance sheet). Only the format that matches the entity is enabled.

Steps

  1. Open Reports and click Generate Report on the card for the entity type.
  2. Choose the nature of the statements (Final, Provisional or Projected). The current-year trial balance is taken from the bar at the top.
  3. Pick the previous-year trial balance for comparative figures, the rounding (actual, thousands, lakhs) and the signing place and date.
  4. Tick whether to include director signature blocks and auditor details, and whether to add a DRAFT watermark.
  5. Click Generate. The statements are built and opened in the preview for review.

Figure 7: The Reports page: one card per entity type, with the sections each format contains. The card for the working entity's type is enabled.

Figure 8: Generation options: report nature, current and previous year trial balances, rounding, signing place and date, signature and watermark options.

UC-04Review and edit the statements

ActorManager (review), Staff (edits)
GoalCheck every statement and note before export, and correct what needs correcting without touching the books.
PreconditionsA generated report (UC-03).
OutcomeA reviewed draft with no reconciliation breaks, saved as a versioned copy.

The preview shows the statements as they will print, in tabs. Any value can be clicked and edited; totals recompute. Each edit is auto-saved as a draft copy with the time of the last save shown at the top. If the trial balance or entity details change later, a notice offers Regenerate to rebuild from the current data.

Figure 9: The Balance Sheet tab. Above the statement: observations from the preparation (stock, tax provision, deferred tax), the reconciliation summary, the tax working and the classification review.

Figure 10: Further down the Balance Sheet: property, plant and equipment, deferred tax assets and long-term loans and advances, each with its note number.

Figure 11: The Statement of Profit and Loss: revenue from operations and other income with note references, followed by expenses.

Figure 12: The end of the Statement of Profit and Loss: profit before tax, current and deferred tax taken from the computation, and the profit for the period.

Figure 13: The Cash Flow Statement under the indirect method: profit before tax, adjustments for depreciation, finance costs and interest income, then working-capital changes.

Figure 14: The Statement of Changes in Equity: equity share capital and the movement in each reserve (opening, profit, dividends, transfers, closing).

UC-05Notes, reconciliation checks and export

ActorManager, then Partner for finalisation
GoalConfirm the notes and policies, clear the review points, and export the statements in the sections required.
PreconditionsA reviewed draft (UC-04).
OutcomeA PDF (or Excel) of the chosen sections, the report listed under Generated Reports, and optionally finalised and locked.

Notes and policies

The Notes and Policies tab carries the significant accounting policies and a note for every line on the face of the statements. Notes are built from the mapped ledgers and the registers (share capital, fixed assets, inventories, related parties), so a figure in a note always ties to the statement it supports. Notes that do not apply to the entity are left out and the numbering stays continuous.

Figure 15: Note 1, Share Capital: authorised capital shown for information and the issued, subscribed and paid-up capital that forms the total, with the standard disclosures below.

Figure 16: Note 8, Deferred Tax Assets: the timing differences on depreciation and section 43B items, measured at the enacted rate, with the explanation printed under the table.

Reconciliation and classification review

Three panels sit above the tabs. Reconciliation lists breaks (which block export) and items worth checking, such as a movement in reserves that is not explained by the profit for the year. The tax working shows how the provision was computed from the saved computation of income. Classification review lists unmapped ledgers, anything routed to "Other", and the notes the preparation made.

Figure 17: The reconciliation panel opened: a movement in reserves and surplus that the profit does not explain, with the figures that should agree and the difference.

Figure 18: The tax working: the computation of total income behind the provision, from profit per the books through section 32, 40(a), 43B and 56 adjustments.

Figure 19: The classification review: no ledger unmapped, nothing routed to "Other", and the four observations recorded while preparing the statements.

Export

  1. Click Choose Sections and Download.
  2. Tick the sections for this run: cover page, the four statements, notes, detailed schedules (every line with the ledgers behind it) and the signature block. The directors' and auditor's reports join the bundle once they are saved.
  3. Click Generate PDF, or Export Excel for the figures in a workbook.
  4. The report is listed under Generated Reports with its status. From there it can be viewed, downloaded again, downloaded with the detailed schedules, edited, finalised and locked, or deleted.

UC-06Year-end closing

ActorManager; Partner locks the period
GoalRecord audit entries and pre-close adjustments against the trial balance, see their effect, and lock the period once the accounts are agreed.
PreconditionsA balanced trial balance for the period.
OutcomeAdjusted figures flowing into the statements; the period closed so that no further change is possible without a logged reopen.
  1. Open Closing Entries and select the period. Only balanced trial balances are offered.
  2. Period Status shows the profit or loss for the period, closing totals and a preview of the closing journal lines. Show Balance Sheet Impact explains what the close will do to the balance sheet.
  3. Under Audit Entries record the auditor's proposed entries; under Adjustments record the pre-close adjustments. Each becomes an entry on the trial balance with its source noted.
  4. Close Period locks the trial balance and the statements built on it. A Partner may reopen it, and the reopen is logged.

Figure 23: Year-End Closing: period selection, the period's result, closing totals and the closing journal preview, with tabs for audit entries, adjustments and closing the period.

UC-07Maintain the fixed assets register

ActorStaff
GoalRecord each asset once and obtain both the Companies Act depreciation schedule and the Income-tax Act block-wise schedule.
PreconditionsThe entity and year are selected. Opening balances can be imported from the previous year.
OutcomeThe fixed asset note and the tax depreciation working, both read live by the statements and the computation of income.
  1. Open Fixed Assets and click Add Asset, or Import from Previous Year to carry forward the closing balances.
  2. Enter the category, name, purchase date, method (straight line or written-down value) and useful life for the Companies Act, and the block and rate for the Income-tax Act.
  3. Fill gross block and depreciation for opening, additions and disposals. Depreciation for the year is auto-calculated; the net block is shown as you type.
  4. Enter the Income-tax values separately where they differ (opening WDV, additions, disposals). The difference between the two Acts feeds the deferred tax note.

Figure 24: Adding an asset: Companies Act details and movement on the left and top, Income-tax Act block values below, with the difference between the two Acts computed.

UC-08Record share capital

ActorStaff
GoalHold the authorised capital and the paid-up capital by share class so that the share capital note is complete.
PreconditionsA company entity.
OutcomeNote 1 of the statements populated with authorised, issued, subscribed and paid-up capital and the movement during the year.
  1. Open Share Capital. Add Authorised Capital records the capital per the Memorandum of Association.
  2. Add Share Class records each class of shares with the number, face value and the movement for the period.
  3. The amounts are checked against the share capital ledger in the trial balance when the statements are prepared.

Figure 25: Share Capital: authorised capital and the share-class-wise paid-up capital for the selected period.

UC-09Record inventories

ActorStaff
GoalGive the statements the opening and closing stock and the inventory break-up and valuation disclosures.
PreconditionsThe trial balance for the year.
OutcomeThe change in inventories on the Statement of Profit and Loss, inventories on the Balance Sheet, and the inventories note.

The page explains how the stock adjustment is worked out against the trial balance: closing stock less the ledger balance goes to the profit and loss and the same amount to inventories, so nothing is counted twice where the books already carry a closing entry. The break-up by raw materials, work-in-progress, finished goods and stock-in-trade, the valuation method and any write-downs are entered below for the note.

Figure 26: Inventories: the stock adjustment for cost of goods sold at the top, and the inventory break-up for the note below.

UC-10Related party disclosures

ActorStaff prepares, Manager marks final
GoalIdentify related parties and key managerial personnel, record transactions and balances, and produce the disclosure note.
PreconditionsThe entity and year are selected.
OutcomeThe related party note in the statements, and a standalone Word or PDF of the disclosure.
  1. Open Related Party Disclosures. Record the controlling or parent entity and the ultimate controlling party.
  2. Add Related Party for each subsidiary, associate, joint venture, KMP, relative and entity under common control, with the nature of the relationship.
  3. On KMP and Compensation record remuneration by category; on Transactions record each transaction type with the amount and the closing balance.
  4. Narrative and Policy carries the policy text; the completeness bar shows what remains. Save, then Mark as Final when agreed. Word and PDF export the note.

Figure 27: Related Party Disclosures: the four tabs, the completeness indicator, the controlling entity and the related parties list.

UC-11Sub-ledgers, bank reconciliation and ageing

ActorStaff
GoalSupport the balances in the trial balance: party-wise detail, a bank reconciliation statement and debtor and creditor ageing.
PreconditionsThe trial balance for the year; party masters where ageing is wanted.
OutcomeWorking papers that tie to the ledger: sub-ledger masters, a BRS per bank account, ageing schedules and MSME outstanding.

Sub-ledgers

Sub-Ledger Masters holds party accounts, loan accounts, asset registers, cost centres and projects for the entity. Masters can be imported and exported, filtered by type, and flagged as MSME so that the MSME disclosures can be prepared.

Figure 28: Sub-Ledger Masters: counts by type, search and filters, and import and export of the masters.

Bank reconciliation

Bank Reconciliation takes the ledger's closing balance from the trial balance, the balance per the bank statement (typed in or imported from a CSV or Excel statement), and the reconciling items: cheques issued but not presented, deposits not yet credited, and bank entries the books do not carry. The difference not explained is shown until it reaches zero. The statement is saved and printed to PDF.

Figure 29: Bank Reconciliation: the bank ledger and its book balance, the statement balance and date, reconciling items and the reconciliation.

Ageing reports

Ageing Reports produces debtor ageing, creditor ageing and the MSME creditors schedule as at a chosen date, from the party sub-ledgers. Clicking a party opens its ledger statement.

Figure 30: Ageing Reports: entity, as-of date and the three schedules on offer.

UC-12Statutory and management reports from the statements

ActorManager prepares, Partner marks final
GoalPrepare the reports that accompany the accounts without re-keying any figure.
PreconditionsFinalised or reviewed statements (UC-05).
OutcomeAuditor's report, directors' report, AGM report and management report, each saved per entity and year and exported to PDF or Word, and available as sections of the statements bundle.

Independent Auditor's Report

The report is organised by the sections of SA 700 and the Companies Act: auditor information and letterhead, opinion and basis, responsibilities, reporting under section 143(3) and Rule 11, CARO 2020 and the report on internal financial controls. Standard wording is pre-filled; the reconciliation bar at the top lists the figures in the report that are checked against the statements.

Figure 31: Auditor's Report: the six sections, completeness, the firm letterhead and auditor details, with PDF, Word and Save actions.

Directors' Report

The directors' report takes the financial performance summary from the statements and the company particulars from the entity master. The sections follow section 134 of the Companies Act, with required fields marked, and the report exports with the company letterhead.

Figure 32: Directors' Report: the financial summary taken from the statements, section tabs, and the company letterhead preview.

AGM report and management reporting

AGM Report records the meeting details, attendance and quorum, resolutions, agenda and the minutes, with the chairperson picked from the directors register. Management Reporting prepares the Management Discussion and Analysis and the Corporate Governance report, section by section with guidance text, and exports to PDF.

Figure 33: AGM Report (left) and Management Reporting (right).

4. Controls and safeguards

ControlHow the module applies it

Balance checkA trial balance that does not balance is shown as Unbalanced and cannot be used for statements.
Complete mappingUnmapped ledgers are counted on the mapping page and in the classification review; a ledger routed to "Other" is flagged for a decision.
ReconciliationEvery preview runs the reconciliation. A break blocks export; an item to check is shown with the figures that should agree.
VersioningTrial balances are versioned; statement edits are saved as a draft copy with the time of the last save; Regenerate rebuilds from the current books.
Finalise and lockTrial balances, periods and reports are finalised by a Partner and locked; reopening is logged.
Firm isolationEvery row is scoped to the firm in the database; a user sees only their firm's clients, entities and reports.
SignatoriesOne rule decides who signs: the directors or partners ticked for the year, else the first two on the register. All signature blocks use it.

5. Appendix: trial balance file format

The upload accepts CSV, TXT, XLSX and XLS files, including trial balance exports from Tally. A generic file needs a ledger name column and either debit and credit columns or a single closing balance column. Optional columns for group, COA head and nature are read when present. The first rows of the sample used in this document:

Ledger NameDebitCredit

Petty Cash1,25,000
HDFC Bank Current A/c18,40,000
Trade Receivables - Domestic92,40,000
Inventories - Raw Materials22,50,000
Plant and Machinery1,23,00,000
Equity Share Capital
1,00,00,000
Term Loan from HDFC Bank
65,00,000
Trade Payables - Suppliers
54,30,000
Sales - Domestic
6,42,00,000
Purchase of Raw Materials4,38,00,000
Salaries and Wages72,50,000
Depreciation21,40,000

Totals must agree. Ledger names that are Tally group names (Cash-in-Hand, Sundry Debtors, Sundry Creditors) are treated as groups in a Tally export; a generic file should use the ledger names as they appear in the books.
